How do I create a new tenant bill?
To create tenant bills, go to Tenant Billing → Create Bills. The system uses a 4-step wizard:
Step 1 — Select Building(s)
Choose which building(s) to bill tenants for. The system automatically loads unbilled invoices for that building, the active cost allocation matrix, and the default invoice template.
Step 2 — Select Billing Period
Pick the time range for this bill using a preset (Last Month, Current Month, Two Months Ago) or a custom date range. The system shows you which uploaded invoices and meter readings fall within this period. If no data exists for your selected period, you will see a warning.
Step 3 — Configure Settings
Set how the bill is calculated:
- VAT Handling: Include or exclude VAT from line item amounts (default: exclude, shown separately)
- Surcharge: Optionally add an admin fee as a separate line or distributed across all items
- Reference Code: Auto-generate a unique payment reference per tenant for easy bank reconciliation
- Email: Choose whether to email a copy to yourself or a colleague
Step 4 — Review Line Items
The system matches your template's line items against uploaded invoices and meter data. For each item you can:
- Toggle it on/off (include or exclude from the bill)
- See the matched invoice amounts and consumption data
- Verify the allocation method (tenant-specific, common area by area, equal split, or split local/common)
Click "Create & Preview Bills" to generate draft bills. You will be taken to a preview page where you can review each tenant's bill, make adjustments, then send or download as PDF.
