How do I create and customize an invoice template?

Invoice templates control how your tenant bills look and what line items they include. Go to Tenant Billing → Templates to manage them.

The Templates page has two tabs

  • My Templates: Templates you have created or customized
  • Gallery: Pre-built professional templates you can use as a starting point

To create a template

  1. Click "New Template" or duplicate an existing one from the Gallery
  2. Give it a name and optional description
  3. Configure the layout settings — invoice title, labels (e.g., "INVOICE" or "FAKTURA"), date format locale, footer text, and your business name/address
  4. Choose display options — toggle visibility of logo, FROM section, BILL TO section, quantity/unit price columns, allocation details, and more
  5. Add line items — each line item represents a cost category (Electricity, Water, Heating, Rent, Common Costs, etc.)

For each line item, configure

  • Name and description: What the tenant sees (e.g., "Electricity — Local Area")
  • Billing source: Where the amount comes from — uploaded invoices, meter data, fixed monthly amount, or hybrid
  • Calculation method: Fixed, by area, by consumption, by percentage, or cost allocation matrix
  • Allocation method: Tenant-specific, common area by area, common area equal, or split local/common
  • Tax rate: VAT percentage (e.g., 25%)
  • Surcharge: Optional markup per line item

Assigning templates

  • Set a template as "Default" for a building — it will be auto-selected when creating bills
  • Assign to specific buildings or even specific tenants
  • Each building can have one default template, but you can switch templates during bill creation

Where to go: Tenant Billing → Templates (the purple card on the billing dashboard).
