Can tenants see their bills and invoices in the portal?

Yes. Billing is on by default for every tenant portal user, so an invited tenant can view all bills sent to them through the portal. They see only their own bills, never other tenants' bills.

What tenants see in their Billing page

  • A list of all bills sent to them, showing bill number (e.g., "INV-2024-001"), date, due date, and total amount
  • Payment status for each bill: "sent", "viewed", "paid", "partial_paid", "overdue", or "cancelled"
  • Line item breakdowns showing cost categories (energy, water, maintenance, rent, etc.) with amounts and consumption figures
  • A PDF download button if a PDF was generated for the bill
  • Filters to view bills by year and month

How bills reach tenants

  1. You create bills in Tenant Billing → Create Bills — select a building, billing period, and source invoices
  2. The system generates one bill per tenant based on cost allocation rules (by area, equal split, or custom percentages)
  3. You send bills from Tenant Billing → Sent Invoices — each bill can be emailed with an optional PDF attachment
  4. The tenant receives the email and can also view the bill in their portal under Billing

Bill statuses update automatically

  • "sent" → when you send the bill
  • "viewed" → when the tenant opens it in the portal
  • "paid" / "partial_paid" → when you mark it as paid

If a tenant says they cannot see their bills

  1. Check their portal permissions — go to Tenant Hub → Tenant Access and verify the Billing toggle is enabled for that user (it is on by default, so this only applies if someone turned it off)
  2. Confirm the bill was actually sent (check Tenant Billing → Sent Invoices for status "sent")
  3. Verify the bill is linked to the correct tenant_id
  4. Check that the tenant user's status is "active" (not "invited" or "deactivated")
