What is cost coverage rate and why is mine below 100%?

Cost coverage rate tells you what percentage of your incoming supplier costs are accounted for — either billed to tenants or explicitly marked as tracked (absorbed). It is shown on the Sent Invoices page as "X% covered".

Formula

Cost coverage rate = (billed_to_tenants + tracked_costs) / total_incoming_costs × 100

Example: You received 80,000 in supplier invoices. You billed tenants 60,000 and marked 10,000 as tracked (included in rent). Your coverage rate is (60,000 + 10,000) / 80,000 = 87.5%.

Why it can be below 100%

  1. Pending invoices not yet classified: Some uploaded supplier invoices have not been allocated to tenants or marked as tracked. These sit in the "pending" amber segment. Action: go to Invoices, find the unclassified ones, and either allocate them or mark as tracked.

  2. Costs included in rent that are not yet marked: Costs like wifi, maintenance, or insurance are already covered by rent but are still showing as pending. Action: select them on the Invoices page and "Mark as Tracked" with reason "Included in Rent".

  3. Missing tenant bills for a period: You uploaded supplier invoices for a period but have not yet generated tenant bills for that period. Action: go to Tenant Billing → Create New Bills and generate bills for the period.

  4. Invoices linked to the wrong building: If invoices are filtered by building and some belong to another building, they may not show in the expected totals.

A coverage rate of 100% does not mean 100% profit — it means every supplier cost is either billed to tenants or intentionally absorbed. Your actual margin depends on rent income (which is not tracked here) minus absorbed costs.

Where to check: Tenant Billing → Sent Invoices → select a year to see the coverage bar and pending amount.
