What happens when a tenant moves out of a building?

When a tenant leaves, several things happen automatically over time. The process is driven by dates you set on the tenant record and their local assignments.

Step 1 — Set move-out dates

Set the move_out_date on the tenant's local assignments (per unit) and/or on the tenant record itself. You can set future dates for planned move-outs or today's date for immediate departures.

Go to Tenant Hub → select tenant → edit the local assignment → set Move-Out Date.
Also set the move_out_date on the tenant record (Tenant Hub → edit tenant → Move-Out Date).

Step 2 — Occupancy transitions to "moved_out"

The hourly Occupancy Worker detects that move_out_date ≤ today and changes occupancy_status from "active" to "moved_out" on each affected local assignment.

Step 3 — Cost allocation adjusts

The moved-out tenant is removed from active cost allocation. If the building has "Auto-distribute common area" enabled, their share is automatically redistributed among remaining active tenants.

Step 4 — Final invoice

Before or shortly after move-out, generate a final invoice covering the tenant's last billing period. The system includes the tenant's consumption up to the move-out date. After their status changes to "moved_out", they won't appear on new invoices.

Step 5 — Portal access grace period (30 days)

The tenant's portal users can still log into the Tenant Portal for 30 days after the move_out_date. This grace period lets them:

• Download their final invoices and documents
• View their consumption history
• Access any documents that require acknowledgment

Step 6 — Automatic portal deactivation (after 30 days)

After 30 days past the move_out_date, the Occupancy Worker automatically deactivates all portal users for that tenant:

• is_active → false
• status → "inactive"
• deactivated_at is recorded

The user can no longer log in to the Tenant Portal.

Where to manage: Tenant Hub → select tenant for dates. Tenant Billing → create final invoice. The 30-day grace period and auto-deactivation are automatic.
