Which e-mails do I get about tenant issues, and how do I switch them off?
Every owner and admin of the account is e-mailed about tenant activity on issues. This does not depend on what the tenant chose as their contact preference — that setting only controls whether the tenant is e-mailed about status changes.
You are e-mailed when
- A tenant reports a new issue — the mail shows the building, unit, tenant, who reported it, the category, the priority and the message, and says which technicians were notified. If no technician is linked to that building yet, it says so and links to Service Providers so you can set one up.
- A tenant comments on an existing issue — the mail quotes the comment.
- A technician marks an issue resolved through the link in their e-mail — the mail names the technician and quotes their resolution notes.
You are not e-mailed when you or a colleague register an issue in Tenant Hub, change its status, assign it, or comment on it — you already know. Those actions e-mail the tenant instead, if the tenant chose "Email" or "Both" as their contact preference; "Portal" means the tenant follows the issue in the tenant portal only.
Language: these mails, and the technicians' mails, are written in your account's language (Settings → Localization → Display Language). A tenant's own issue mails follow the language that tenant picked in the tenant portal.
Switching the mails off: on Tenant Hub → Issues, use the Email me about new tenant issues switch next to Refresh. It silences your own inbox only; every other owner and admin keeps receiving the mails. Each person switches it for themselves, and the footer of every issue mail says where the switch is.
Who else receives something: the technicians linked to the building get their own mail with a one-click resolve link (see "How do I get a technician or co-worker notified when a tenant reports an issue?"). Colleagues invited with a role below admin are not e-mailed unless they are also added as a service provider.
