How do I get a technician or co-worker notified when a tenant reports an issue?

Add the person as a service provider and tick the buildings they cover. Every issue a tenant reports for those buildings is then e-mailed to them automatically, with a one-click link to mark it resolved. One form, done once per person.

Where: Tenant Hub → Service Providers → Add Provider (sidebar: Tenant Hub, then the Service Providers tab).

Who can do this: owners, admins and colleagues with access to Tenant Hub. Users with the basic User or Viewer role can see the service providers but cannot add or change them; the page tells them so.

The three things that matter in the form

  1. Company name (or the person's name).
  2. E-mail address — notifications cannot be switched on without one; the form tells you so.
  3. Auto-Notify Buildings — the form lists every building. Click Enable on each building this person should cover. By default they get every issue type; untick a type (for example Complaint) if a plumber should only get maintenance and emergencies. Then click Create Provider. The building links are saved in the same step.

The rest of the form (phone, address, hours, rates) is optional. Keep the provider Active; an inactive provider receives nothing.

What the technician receives: one e-mail per reported issue with the building name and address, the unit, the tenant, the category, the priority, the tenant's message, and a Mark as resolved button that works for 7 days without logging in. The mail is written in your account's language (Settings → Localization → Display Language) and sent on behalf of your account, and a reply from the technician's mail program goes to you, not to a no-reply address. If exactly one technician is linked to the building, the issue is also assigned to them automatically; with two or more it stays unassigned until you pick one.

What you see afterwards: the provider list shows "Notified for: …" on each card, and an issue's page shows which technicians were e-mailed for it. Open a provider at any time to enable or disable buildings or change the issue types. Per building you can also tick "Notify tenant by email when issue is resolved" if the tenant should get an automatic mail when the technician resolves it.

Two kinds of co-worker — pick the right path

  • Someone who should get the resolve link, for specific buildings (an external technician, a caretaker, a colleague without a login): add them as a service provider as above. They never need an account.
  • A colleague with a login who should simply hear about everything: invite them via Settings → Users with the admin role. Owners and admins are e-mailed about every tenant-reported issue in the account; no building setup needed. Each of them can switch those mails off for themselves on Tenant Hub → Issues. A colleague invited with a lower role is not e-mailed unless you also add them as a service provider.

Also covered: issues your own staff register in Tenant Hub (or through the assistant) go to the linked technicians too — only the owner/admin mail is skipped, since the issue was not reported by a tenant.
