What does 'Mark as Tracked' do on the Invoices page?

"Mark as Tracked" is how you tell the system that a supplier invoice is an internal cost you are absorbing — it will not generate a separate tenant bill for it. Use it for costs that are already covered by rent or by common area fees, so the invoice is logged for cash flow tracking without triggering a billing workflow.

When to use it

  • A wifi or internet bill that is included in the tenant's rent price
  • Building insurance or property tax that you absorb
  • Cleaning or maintenance costs already covered by common area fees
  • Any cost you want to track for your own records but not pass through individually to tenants

How to mark invoices as tracked

  1. Go to Invoices (the Invoices page in the main navigation)
  2. Select one or more invoices using the checkboxes
  3. Click "Mark as Tracked" in the bulk action toolbar
  4. Choose a reason from the dropdown: "Included in Rent", "Common Area Fee", "Internal Cost", or "Other"
  5. Optionally add a note (e.g., "wifi covered by lease agreement")
  6. Confirm

What changes

  • The invoice's allocation_status changes to "tracked"
  • The invoice no longer appears in unprocessed/pending queues
  • It shows with a purple badge in the invoice list
  • The amount counts toward your "tracked costs" in the Cost Coverage overview on Sent Invoices

To reverse it: Select the invoice and click "Unmark Tracked" — this returns it to pending so you can allocate it normally.

Where to go: Invoices → select invoices → "Mark as Tracked" button in the bulk action bar.
