How can I track and compare insurance costs over time using invoices?
When you upload an insurance invoice PDF, the AI extraction automatically classifies it with invoice_type = "insurance" (it recognizes Norwegian "forsikring", Swedish "försäkring", and similar terms).
Viewing all insurance invoices
Go to the Invoices page and use the type filter dropdown to select "Insurance". This shows all insurance invoices across your buildings with company name, amount, date, and period.
Chatbot shortcut: Ask me: "Show me all insurance invoices for 2025" — I can filter by type, building, and date range using the invoice search tool.
Year-over-year comparison
Filter insurance invoices by building, then compare totals across years. Insurance premiums typically increase 3–8% annually. If your increase is higher, you have data to challenge the renewal.
Per-building comparison
If you manage multiple buildings, compare the insurance cost per m² across properties. Navigate to your Invoices page, filter by "Insurance", and note which buildings have disproportionately high premiums relative to their size. This can indicate over-insurance or missing portfolio discounts.
Tips for managing insurance costs
- Mark as Tracked: Insurance invoices are usually absorbed by the building owner (not billed to tenants separately). Use "Mark as Tracked" with reason "Internal Cost" to keep your cost coverage metrics clean.
- Track annually: Set a calendar reminder to review insurance invoices every 12 months. Upload every renewal to build a historical record.
- Multiple quotes: Use your historical data to request competitive quotes. Providers respond better when you show organized records.
