How do I generate a portfolio cash flow report?

Cash flow tracking shows money flowing in (tenant bill payments) vs money flowing out (supplier invoices for electricity, water, heating, gas, waste, maintenance, insurance).

How to generate

  1. Go to Reports → Portfolio Report.
  2. Select your buildings (one or all).
  3. Set the date range — recommend at least 6 months for meaningful trends.
  4. In the modules selector, enable "Cash Flow" and "Financial". You can also enable "Energy" and "Cost Allocation" for a comprehensive view.
  5. Click Generate Report.

What the report shows

  • Monthly cash flow bars: Stacked bars showing inflows (tenant payments) vs outflows (utility costs by category).
  • Expense categories breakdown: Electricity, water, heating/gas, waste, maintenance, insurance, other — as a pie chart and summary table.
  • Net position per month: Total inflow minus total outflow. Months with negative net flow mean you spent more than you collected.

Using the cash flow data

  • Identify negative months — plan budget reserves for high-cost periods (typically winter with heating costs).
  • Spot rising outflows — if utility costs grow faster than rent income, you may need rent adjustments or cost reduction measures.
  • Compare buildings — which properties are net positive (profitable) vs net negative (cost centers)?
  • Track payment collection — if inflows are lower than billed amounts, tenants have outstanding balances.

Share with stakeholders

Click "Export PDF" or "Export Excel" to share the cash flow report with property owners, investors, or accountants. The PDF includes formatted charts and the Excel provides raw data for further analysis.
