How do I add a tenant?

A tenant is the company or person renting one or more locals in your buildings. Tenants are what cost allocation splits costs between and who tenant bills are addressed to.

Steps

  1. Go to Tenants in the sidebar and click Add Tenant.
  2. Fill in:
    • Tenant Name (required), Email and Phone Number — the e-mail is where bills and tenant-portal invitations are sent.
    • Building, then Local/Unit — pick one or more locals the tenant rents (a business often rents several). A local already rented by another tenant is marked as such; you can create a separate local for this tenant instead.
    • Area (m²) — calculated automatically from the assigned locals; enter it by hand only when the tenant has no locals yet.
    • Rental Period — Start Rent Date (move-in) and End Rent Date (move-out). Leave the end date empty for an open-ended lease.
  3. Save.

What happens next

  • Before the start date the tenant shows as "Moving in" and is not yet part of cost allocation. On the start date it becomes active automatically. After the end date it shows as "Moved out".
  • To let the tenant see their bills and documents, invite them to the tenant portal under Tenant Hub → Tenant Access.
  • Bills for the tenant are created under Tenant Billing.
