How does cost allocation change when tenants move in or out?

Tenant composition changes — someone moving in or out — directly affect how building costs are distributed. The platform can handle this automatically or manually depending on your building settings.

Automatic redistribution (recommended)

If "Auto-distribute common area" is enabled on the building (auto_distribute_common_area = true), the system automatically recalculates allocation factors whenever the tenant composition changes.

How it works:

  1. The Occupancy Worker detects a status change (scheduled → active, or active → moved_out)
  2. It identifies which buildings are affected
  3. For each affected building, it calls the auto-distribution function
  4. New allocation factors are calculated based on the updated tenant list and their rented areas
  5. Only unlocked allocation factors are recalculated — locked factors remain fixed

Manual redistribution

If auto-distribute is disabled, you must manually update allocation factors after a tenant moves in or out. Go to Cost Allocation → select building → adjust factors for the new tenant composition.

What happens with different allocation methods

  • By Area: The new tenant's share is automatically calculated from their rented area divided by total occupied area. When a tenant leaves, their share is redistributed.

  • By Area × Hours: Same as by-area, but also considers the number of days the tenant was active during the billing period. Best for mid-period move-ins/move-outs.

  • Equal Split: Share is recalculated as 1 ÷ number of active tenants.

  • By Custom Factors: Only unlocked factors are recalculated. Locked factors stay fixed, and the remainder is distributed among unlocked tenants.

Example — tenant moves out mid-month

Building has 3 tenants with equal areas. Tenant C moves out on the 15th.

  • By Area: A and B each go from 33% to 50%
  • By Area × Hours: For that month, C pays 50% of their usual share (15/30 days), A and B absorb the rest

Where to configure: Buildings → edit building → toggle "Auto-distribute common area". Cost Allocation → view and adjust factors per cost type.
