How do I set a custom allocation for a specific tenant or cost type?

While the default proportional-to-area method works for most situations, some tenants need a different allocation. For example, a car wash business should pay a larger share of water costs than an office tenant of the same size, because they use far more water.

How to override allocation for a specific tenant

  1. Go to Cost Allocation → select your building
  2. Find the cost type you want to adjust (e.g., "Water")
  3. In the allocation matrix, click the percentage cell for the specific tenant and cost type
  4. Enter the custom percentage (e.g., change from 20% to 45%)
  5. Lock the factor — click the lock icon so it shows as locked (is_locked = true). This prevents auto-recalculation from overwriting your custom value.
  6. The remaining unlocked tenants will have their percentages adjusted to fill the remaining share

Example — car wash water allocation

Building with 3 tenants:

  • Office A: 500 m² (50% by area)
  • Office B: 300 m² (30% by area)
  • Car Wash C: 200 m² (20% by area)

By area, the car wash would pay only 20% of water costs. But since it uses 60% of the water, you can:

  • Set Car Wash C's water allocation to 60% and lock it
  • The remaining 40% is distributed proportionally between Office A and Office B
  • Office A gets 25% (500/(500+300) × 40%), Office B gets 15% (300/(500+300) × 40%)

You can mix methods per cost type. For example:

  • Heating: allocated by area (default, all tenants proportional)
  • Water: custom factors (car wash locked at 60%, rest proportional)
  • Electricity: equal split (each tenant pays the same regardless of area)
  • Common area: auto-distributed by area

Using the auto-calculate button

In the allocation matrix, you can click "Auto-calculate" to recalculate all unlocked factors for a cost type. Choose the method (by area, by area × hours, or equal). Locked factors remain untouched and the remaining percentage is split among unlocked tenants.

When to use locked factors

  • Lease contracts specify exact cost-sharing percentages
  • A tenant's usage pattern doesn't match their area share (car wash, data center, restaurant)
  • Temporary special arrangements during renovation or partial occupancy

Where to manage: Cost Allocation → select building → allocation matrix. Click any percentage cell to edit. Use the lock icon to prevent auto-recalculation.
