How do I upload documents to a building?

You can upload documents — such as contracts, manuals, floor plans, or building policies — and attach them to a specific building. Documents are managed in the Tenant Hub → Documents page.

Step-by-step upload process

  1. Go to Tenant Hub → Documents in the sidebar
  2. Click the "Upload Document" button
  3. Drag and drop your file onto the upload area, or click to browse your computer
  4. Fill in the required metadata:
    • Title (required): A descriptive name for the document (e.g., "Fire Safety Manual 2025")
    • Description (optional): Additional context about the document
    • Category: Select an existing category (e.g., "Fire Safety", "Service Contracts") or create a new one inline
    • Document type: Choose from contract, policy, manual, notice, regulation, form, guide, or other
  5. Set visibility and access:
    • All tenants: Every tenant in the building can see the document
    • Admin only: Only building administrators can see it
    • Specific tenants: Choose exactly which tenants can access it
  6. Optionally enable "Requires acknowledgment" — tenants must confirm they have read the document
  7. Optionally mark as "FM Document" (Facility Management) — these are never visible in the Tenant Portal and are for internal building management only
  8. Click "Upload" to save

Supported file formats

  • Documents: PDF, Word (.doc, .docx), text (.txt, .rtf, .odt)
  • Spreadsheets: Excel (.xls, .xlsx), CSV, OpenDocument (.ods)
  • Presentations: PowerPoint (.ppt, .pptx), OpenDocument (.odp)
  • Images: JPG, PNG, GIF, BMP, WebP
  • Archives: ZIP, TAR, GZ, 7z
  • Other: JSON, XML, Markdown (.md)

File size limits: PDFs up to 10 MB, images up to 5 MB, office documents up to 20 MB, archives up to 50 MB.

Where to find uploaded documents: Tenant Hub → Documents. Use the category filter or search bar to find specific documents.
